Refunds, deposits & rescheduling

Booking deposits

A deposit may be required to reserve a review week. The deposit amount and whether it is credited to the final fee appear in your written confirmation.

Eligibility for a full refund

You may receive a full refund of fees paid if we cancel the engagement for reasons on our side, or if you cancel in writing before we confirm that document review has started — typically within 48 hours of booking when materials have not yet been opened.

Partial refunds

If you cancel after the silent read has begun but before the findings memo is delivered, we may retain a portion of the fee reflecting work already performed (commonly 40–60%), returning the remainder. Once the findings memo is delivered, fees for that engagement are non-refundable.

Non-refundable items

Rush premiums for 72-hour turns are non-refundable once rush work has started. Completed optional clarification calls are non-refundable.

Refund process & timing

Email hello@aidataengineering.digital with your name, booking date, and reason. Approved refunds are processed within 14 business days to the original payment method where possible.

Cancellation & rescheduling

You may request one reschedule to a later review window if you give at least five business days’ notice and capacity exists. Shorter notice may be treated as cancellation under the partial-refund rules above.

No-shows & late materials

If scheduled call time passes without attendance and without 24 hours’ notice, the call portion is forfeited. If promised drafts arrive too late for the agreed deadline, we may rebook the review or convert the engagement to a shorter audit with a revised fee; deposits may be held against the new plan.

Work already started

Opening your files for the silent read counts as work started. Purchased third-party materials are not part of our model; we do not bill for printing or courier of physical packets unless separately agreed in writing.

Exceptions

Statutory rights under Japanese consumer law remain unaffected where they apply. Illness or documented emergencies may be considered case by case for goodwill credits toward a future audit within six months.
